What’s Involved in a Commercial Air Conditioning Installation?
What to expect when you have commercial air conditioning installed — stage by stage.
A commercial air conditioning installation runs through a clear sequence: a site survey, then design and specification, a quote and schedule, the installation itself, commissioning and testing, and handover — usually with a maintenance arrangement to follow. How long it takes depends on the size of the system and the building, from a few days for a single system to several weeks for a large multi-zone project. Knowing what each stage involves makes the whole thing far less disruptive to plan around.
The biggest difference from a domestic install is that commercial work almost always has to happen around a working building — so good planning matters as much as good engineering.
1. The site survey
It starts with an engineer visiting the building. This isn’t a quick look — it’s where the heat load is assessed (the people, equipment, glazing and use that determine what the system has to cope with), along with the practical realities: where plant can go, how pipework and ductwork can be routed, what access there is, and how the building is used through the day. A proper survey is what separates a system that’s sized correctly from one that’s guessed at.
2. Design and specification
From the survey comes the design: the type of system suited to the building, sized to its actual heat load, with the indoor and outdoor units, pipework and controls all specified. This is where the decisions that determine running cost and comfort for the next decade get made, so it’s worth getting right rather than rushing. A good design also accounts for how the building might change, so the system isn’t outgrown the moment you reconfigure.
3. Quote and scheduling
You should get a clear, itemised quote covering the system, the work and the timescale — not a vague figure. Once it’s agreed, the work is scheduled, and for a commercial building that scheduling is half the job: planning the install around trading or operating hours, agreeing access, and sequencing the work so the business keeps running.
4. The installation
On site, the engineers fit the indoor and outdoor units, run the refrigerant pipework, drainage and electrical connections, and install the controls. In an occupied building this is done in stages where needed, working around the operation and keeping disruption contained — out of hours for the noisy or intrusive parts where the building can’t simply stop. Plant is placed to be both effective and discreet, which matters in offices, retail and anywhere customer-facing.
5. Commissioning and testing
A system isn’t “installed” the moment it’s bolted in — it has to be commissioned. The refrigerant circuit is pressure-tested and checked for leaks, the system is evacuated and charged correctly, and the whole thing is tested and balanced so it performs as designed across every zone. This stage is also a legal one on the refrigerant side, handled by F-Gas certified engineers, and it’s where a rushed install shows up as a system that never quite performs.
6. Handover
At handover you’re shown how the controls work, given the documentation, and set up with the warranties and the F-Gas records the system is legally required to have from day one. A good handover means you’re not left with a system you don’t understand or paperwork you can’t find when an inspection comes.
7. Aftercare and maintenance
A commercial system is built to be maintained, not fitted and forgotten — so installation usually rolls into a servicing arrangement that keeps it efficient, in warranty and compliant. Using the same contractor for both means the people servicing the system are the ones who know exactly how it was put in.
How long does it take?
Honestly, it depends — and anyone who quotes a flat timescale without seeing the building is guessing. A single split system might be a day or two; a multi-unit VRF system across several floors can run to weeks once design, lead times on equipment, and working-around-the-business are all factored in. The survey-and-design stage takes time too, but it’s where delays on site are avoided, so it’s not the place to cut corners.
Keeping disruption down
For most businesses the real worry isn’t the engineering — it’s whether the building can keep working through it. A well-planned commercial install is sequenced around that: noisy or intrusive work timed out of hours, areas done in turn rather than all at once, and the site left clean and usable each day. That planning is exactly why commercial installation is a contractor’s job, not a general trade’s.
